how xenett pulls prepaid transactions from your accounting software to detect prepaid transactions accurately, xenett only pulls entries that meet the following criteria entry start date only transactions on or after this date are considered (based on transaction date in your accounting software) threshold amount only transactions above the specified amount will be tracked supported transaction types quickbooks online expense, cash expense, cheque/check expense, bill xero spend money, bill memo/description format must include the mandatory keyword “for the period” or “from–to” for example, paid ₹1,20,000 on january 1, 2025 for office rent for january to december 2025, your memo should look like this " for the period jan 1, 2025 to dec 31, 2025" or "from jan 1, 2025 to dec 31, 2025" add a prepaid review point navigate inside the project where you want to track prepaid expenses click new → task → review points → search prepaid expenses → create after creating, a configuration pop up will appear here, you need to enter entry start date – transactions on or after this date will be considered threshold – only entries above this amount will be tracked (default ₹2,000) map prepaid and accrual accounts – select the appropriate accounts enable auto entry – on by default to automatically track new transactions based on the configuration details, xenett will detect matching prepaid transactions and display them in the month wise prepaid expenses view view month wise prepaid expenses xenett displays prepaid entries month by month key columns opening balance amount carried forward from the previous month recognized amount expense applied for the current month remaining balance amount yet to be recognized closing balance balance after the current month’s recognition mismatches with accounting software are highlighted automatically for review update prepaid config settings once your prepaid expenses are displayed in xenett, you can update the configuration at any time click the config button from the prepaid listing edit details start date, threshold, accounts enable/disable auto entry on (default) xenett automatically captures new prepaid transactions from the selected date onward off stops auto tracking until turned back on click save to apply the new settings xenett will immediately update the displayed transactions and continue auto tracking based on your updated configuration adding missing schedules sometimes, a prepaid schedule exists in your accounting software but not in xenett in such cases, add it manually how to add a missing schedule click add schedule from the prepaid expenses listing fill in required details start date, amount, linked accounts click save – the schedule will appear in the month wise display along with existing entries you can update schedule details upfront (amounts or dates) immediately once finalized, select the entries you want to post to your accounting software once completed the selected entries will be posted to your accounting software, and the schedule will continue to update in xenett’s month wise view
