when you're creating tasks inside a project template , it’s not always possible to assign specific users—because the same template may be used by different teams or clients later on why use roles in templates? instead of assigning tasks to users directly while creating a template, you assign them to roles like preparer reviewer manager later, when you import the template into a live project , you can map each role to a real user all tasks that had a role assigned will then automatically get assigned to the selected user how it works go to settings > manage roles enter a name (e g , preparer, reviewer, tax manager) use roles while creating templates while adding tasks inside a template, choose a role instead of a specific user assign users when importing the template when you use the template in a project the system will ask you to map each role to a user all tasks under that role will automatically be assigned to the selected user use case example you’re building a migration template in it, you assign roles like preparer for backing up data reviewer for verifying the transfer manager for signing off now, when your team starts a new migration project, just import the template, assign users to each role, and all tasks are ready with the right people assigned—no extra work needed
